Create and edit sessions

  1. Open the event and go to Sessions.
  2. Open Add New Session and fill in:
    • Session Title and Session Type: Game, Workshop, Panel, Tournament or Other.
    • Status: leave it on Draft.
    • Description: one or two sentences, up to 280 characters. The hook people see on the schedule.
    • Start Time and End Time: optional now. You can place it later in the schedule builder. A session can’t run longer than 12 hours.
    • Needs a table or room: on if it can’t run without one. See below.
    • Resource: optional now.
    • Session Host: only people with a confirmed ticket are listed. Or No specific host.
    • Min Participants and Max Participants.
    • Game System and Additional Information: the full write-up. Supports Markdown.
  3. Select Create Session.

To add genre, experience level, content warnings, materials and a cover image, open the session after creating it. They’re under Session Content.

Open the session, change what you need and select Save Changes.

The session’s host can edit the game details too: system, genre, experience level, warnings, materials, cover image and Additional Information. Title, description, time, table, seats and status stay with you.

  • Max Participants set: a capped session. People sign up, and a waitlist forms when it’s full.
  • Max Participants empty: a drop-in session. No signup, no seat limit: people with a ticket for that day just show up.

Turn this on for sessions that can’t run without a place. A session that needs one can’t be published until it has one. Turn it off for things like a walking tour or an open play area.

If a host has no ticket for the event, or their ticket doesn’t cover the session’s day, you see a warning on the session and next to their name in the list. Fix it before you publish: assign another host, move the session, or issue them a ticket.
